1. Who we are
Q.Bids is a government bid intelligence and proposal support platform operated at qbids.co by The Quiah Group, Inc. ("TQG," "we," "us," or "our"), a Virginia corporation. This Privacy Policy explains what information we collect when you visit qbids.co or use the Q.Bids client portal, how we use it, who we share it with, and what choices you have.
By using the site or the platform, you agree to the practices described here. If you do not agree, please do not use the service.
2. Information we collect
Information you give us directly. When you create an account, request access, subscribe, or contact us, we may collect your name, business name, work email address, telephone number, mailing address, job title, and details about your company such as size, industry codes, socioeconomic certifications, geographic service area, and past performance. If you use our proposal support services, you may also submit documents, pricing information, resumes, and other business records.
Payment information. Subscription payments are processed by Stripe, Inc. We do not collect or store full payment card numbers on our systems. Stripe provides us with a transaction record, a payment status, and limited card details such as the brand and last four digits. Stripe's handling of your payment data is governed by Stripe's own privacy policy.
Information collected automatically. When you visit the site we automatically receive technical information including your IP address, browser type and version, device type, operating system, referring page, pages viewed, search terms entered into the platform, saved opportunity filters, and the dates and times of your visits. We collect this through server logs, cookies, and similar technologies.
Information from public sources. Q.Bids aggregates procurement opportunity data published by federal, state, and local government agencies and other public bodies. That data is public record information about solicitations, not personal information about you.
3. Cookies and similar technologies
We use cookies and comparable technologies to keep you signed in, remember your preferences and saved searches, measure how the site is used, and improve performance. Some cookies are strictly necessary for the platform to function. Others support analytics.
Most browsers let you refuse or delete cookies through their settings. If you block strictly necessary cookies, portions of the client portal will not work correctly. Where required by law, we will ask for your consent before setting cookies that are not strictly necessary.
4. How we use your information
We use the information we collect to:
- create and administer your account and authenticate your access to the client portal
- match your business profile to procurement opportunities and generate alerts and recommendations
- deliver proposal drafting, review, and capture support that you request
- process subscriptions, invoices, renewals, and refunds
- respond to inquiries and provide customer support
- monitor, secure, troubleshoot, and improve the platform
- send service messages about your account, billing, outages, and material changes to these terms
- send marketing communications where permitted, which you may decline at any time
- comply with legal, tax, audit, and regulatory obligations, and enforce our agreements
We do not sell your personal information, and we do not share it with advertisers for cross context behavioral advertising.
5. When we share information
We share information only in the following circumstances:
Service providers. We use vendors that support our operations, including cloud hosting, database services, email delivery, analytics, customer support tooling, and payment processing through Stripe. These vendors receive only the information needed to perform their function and are bound by contract to protect it.
Professional advisors. Our attorneys, accountants, auditors, and insurers may receive information where reasonably necessary.
Legal requirements. We may disclose information where we believe in good faith that disclosure is required by law, subpoena, court order, or lawful request by a government authority, or where necessary to protect our rights, your safety, or the safety of others, or to investigate fraud or a security incident.
Business transfers. If TQG is involved in a merger, acquisition, reorganization, financing, or sale of assets, information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a materially different privacy policy.
With your direction. We share information with teaming partners, prime contractors, agencies, or others when you instruct us to do so in connection with a bid or proposal.
We do not disclose your confidential business information to your competitors. Additional commitments regarding your proprietary bid information are set out in our Confidentiality Statement.
6. Data retention
We keep account information for as long as your account is active and for a reasonable period afterward to meet legal, tax, audit, and record keeping obligations, typically seven years for financial records. Proposal work product and supporting documents are retained under the terms of your engagement or the Confidentiality Statement, whichever applies. Server logs are retained for a shorter operational period. You may request deletion of your information as described below, subject to our obligation to retain certain records.
7. Security
We use administrative, technical, and physical safeguards designed to protect your information, including encryption of data in transit, access controls limiting employee access to a need to know basis, credential management, and monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential and for notifying us promptly of any suspected unauthorized access.
8. Your choices and rights
You may review and update your account information at any time through the client portal, or by contacting us. You may unsubscribe from marketing email using the link in any such message, though you will continue to receive service and billing messages while your account is active.
Depending on where you live, you may have the right to request access to the personal information we hold about you, request correction of inaccurate information, request deletion, request a portable copy, object to or restrict certain processing, and appeal a denial of your request. Virginia residents have these rights under the Virginia Consumer Data Protection Act, and residents of California, Colorado, Connecticut, and other states with comprehensive privacy laws have comparable rights. We will not discriminate against you for exercising them.
To make a request, contact us using the details in Section 12. We will verify your identity before acting, respond within the time required by applicable law, and tell you if an exception prevents us from fulfilling the request.
9. International users
The platform is operated from the United States and your information will be processed here. TQG maintains an operational presence outside the United States, and information may be accessed by authorized personnel in those locations under equivalent contractual protections. If you access the platform from outside the United States, you consent to this transfer and processing.
10. Children
Q.Bids is a business service intended for use by adults acting on behalf of an organization. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If we learn that we have collected such information, we will delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. If the changes are material, we will provide additional notice, such as an email to the address on your account or a notice within the client portal, before the changes take effect.
